vehicle safety checks and protocols are adhered to. Each employee,
including drivers, maintenance personnel, and administrative staff, has a
responsibility to comply with health and safety regulations and report any
hazards or concerns immediately.
4. Vehicle Safety and Mechanical Checks
Our company acknowledges that vehicle safety is critical to passenger
safety. The following procedures are in place to ensure the mechanical
integrity of all vehicles:
• Pre-Operation Checks: Every driver is required to complete a daily
pre-operation inspection before commencing service. This includes
checking:
• Tyres (condition and pressure)
• Lights (including brake lights and indicators)
• Windshield wipers and fluid
• Brakes (including handbrake and air brake systems)
• Doors and emergency exits
• Seatbelts and safety features
• Fuel levels and engine condition
• Documentation (vehicle inspection logs, insurance, and registration)
• Routine Maintenance: All vehicles are subject to regular service
intervals as per manufacturer recommendations and legal
requirements, including:
• Scheduled mechanical servicing every 500 miles or 1.5 months
• In-depth mechanical checks, including engine diagnostics,
transmission, suspension, and exhaust systems
• Calibration of all safety-related equipment, such as seatbelts, fire
extinguishers, and emergency exit devices
• Maintenance Logs: A detailed maintenance log for each vehicle is
kept up to date, recording all checks, repairs, and replacements
carried out. These logs are reviewed periodically by management
and are available for inspection.
• Repairs and Defects: Any vehicle found to have a defect during
routine checks or reported by drivers must be immediately taken
off the road and sent for repair. Vehicles will only return to service
when deemed safe by qualified mechanical staff.
• Emergency Equipment: All vehicles are equipped with emergency
equipment, including:
• First aid kits
• Fire extinguishers (checked regularly for compliance)
• Emergency exit signs and lighting
• Reflective triangles or cones
Drivers are trained to ensure that emergency equipment is readily
available and in working order.
5. Driver Health and Safety
The safety of drivers is paramount. The following procedures ensure that
drivers are fit for duty and able to operate vehicles safely:
• Driver Training: All drivers undergo a comprehensive training
program that includes safe driving practices, emergency
procedures, passenger safety, and vehicle checks.
• Medical Fitness: Drivers are required to meet the medical
requirements specified by relevant authorities. Regular medical
examinations will be conducted to ensure drivers are physically and
mentally fit for the role.
• Rest and Working Hours: In compliance with the Working Time
Regulations 1998, drivers are required to take sufficient breaks
during their shifts to prevent fatigue and ensure they are fit to drive.
6. Passenger Safety
The safety and comfort of our passengers are a top priority. We have
implemented the following safety measures:
• Seatbelt Use: Passengers must wear seatbelts at all times, where
available. Drivers are trained to ensure seatbelt compliance,
particularly on routes with passenger seatbelt requirements.
• Emergency Procedures: Drivers are trained in emergency
evacuation procedures. Each vehicle is equipped with an
emergency manual that outlines procedures for handling fire,
accidents, and medical emergencies.
• Clear Signage: All vehicles have clear signage regarding safety
procedures, such as emergency exits, seatbelt use, and instructions
in case of an emergency.
7. Risk Assessments and Inspections
• Vehicle Risk Assessments: A risk assessment for vehicle safety is
conducted at regular intervals, with all potential hazards identified
and mitigated. This includes assessing risks associated with traffic
conditions, vehicle operation, and passenger behavior.
• Periodic Safety Audits: Safety audits will be carried out regularly to
review the effectiveness of safety practices. The findings of these
audits will be reviewed by senior management to ensure
continuous improvement.
8. Reporting and Investigation of Incidents
• Accident and Incident Reporting: Any accidents, near-misses, or
vehicle faults must be reported immediately to the Health and
Safety Manager. An investigation will be carried out to identify the
root cause and corrective actions to prevent recurrence.
• Record Keeping: All accidents, injuries, and safety concerns are
recorded in an incident log. These records are reviewed periodically
to monitor trends and implement improvements.
9. Communication and Training
• Health and Safety Meetings: Regular health and safety meetings
will be held to discuss ongoing concerns, safety improvements, and
any new legislative requirements.
• Ongoing Training: Employees, including drivers, maintenance staff,
and management, receive continuous training in health and safety,
including emergency procedures, mechanical safety, and best
practices for minimizing risks.
10. Review of Policy
This Health and Safety Policy will be reviewed annually or whenever
significant changes in the law or company operations occur. Any
revisions will be communicated to all employees.
This policy ensures that the safety of our vehicles and the welfare of our
employees and passengers are prioritized, in compliance with current
